This role is mainly based in Hipercentro (Porto) and requires frequent travel between all offices in Portugal and occasional travel to Malta.
What is my department like?
Our Office team ensures that Cleverβs workplace runs like clockwork, from managing facilities and travel to creating a comfortable and productive environment for everyone. The team is the backbone of daily operations, supporting all departments with efficiency and care.
What is my role like?
As an Office Services Manager, you will be responsible for ensuring the excellence of the daily worker experience across all Clever offices in Portugal.
You will lead the strategic, operational, and financial coordination of key office services, including corporate travel, canteen operations, internal events, reception, and office supplies management, ensuring alignment with company culture and business objectives.
You will manage a team of 8 professionals (5 in reception and 3 in canteen), including leading an inclusion project for a worker with a disability, ensuring structured integration, productivity, and measurable impact.
What will my daily tasks involve?
Coordinating all office services functions across multiple locations
Leading, motivating, and managing performance of the Reception and Canteen teams
Managing recruitment, onboarding, training, and conflict resolution
Defining and executing the Inclusion Project, including productivity analysis, learning plans, and KPIs
Managing and optimizing JIRA workflows, ensuring correct ticket triage, SLA compliance, and efficient resolution
Overseeing corporate travel bookings, ensuring strict compliance with company travel policy and best cost-benefit ratio
Supervising canteen operations, including daily service, quality control of meals/goods, supplier coordination, and food safety compliance
Overseeing purchases and inventory management of pantry and consumables to avoid stockouts and reduce waste
Planning and executing the annual internal events strategy, ensuring alignment with company culture and managing budgets, suppliers, and execution
Supervising reception operations, including schedules, mail distribution, package management, and office supplies
Managing parking occupancy and ticketing
Ensuring consistent service standards across all buildings through audits and remote coordination
Preparing and managing annual budgets, including cost control, payment reconciliation, and financial deviation analysis
Creating, reviewing, and updating department policies (Travel, Canteen, Space Usage, etc.)
Collaborating with internal stakeholders across all departments and external suppliers (catering, travel agencies, etc.)
Working closely with the Facilities Manager to align services with infrastructure and safety.
What is expected from me?
β Experience in a Senior or Lead role in Office Services, Hospitality, or Operations Management
β Proven experience managing teams and multi-site operations
β Minimum 12th grade education (Degree in Hospitality, Management, or related fields is a plus)
β Strong proficiency in Google Workspace (advanced Sheets/Excel for budget management)
β Experience with JIRA or similar ticketing systems
β Fluent in English (mandatory)
β Strong organization and multitasking across multiple buildings and service areas
β Clear, empathetic communication with focus on inclusive leadership
